Job Description

FRONT DESK EXECUTIVE

Responsibilities

  • Keep front desk tidy at all times and presentable with all necessary material (pens, forms, paper, etc.)
  • Stand up, greet, and welcome guests with a smile.
  • Answer questions and address complaints
  • Answer all incoming calls professionally such as “Good morning Get Inn Hotel, MIRA speaking. How can I help you?” and redirect them or keep messages
  • Receive letters, packages, etc. and distribute them
  • Prepare outgoing mail by drafting correspondence, securing parcels, etc.
  • Check, sort, and forward emails
  • Monitor office supplies and place orders when necessary
  • Keep updated records and files
  • Monitor office expenses and costs
  • Store any luggage as needed by guests
  • Monitor external vendors’ serviceability
  • Must be available to work set shifts and cover alternate shifts when necessary. After each shift, you must fill in a report and communicate all activities you have encountered during your working time.
  • Shift handover report has to be done upon completing shift hours.
  • Failure to notify your Manager according to established departmental policies when you will be absent or late may result in disciplinary action.
  • Perform other duties from the norm as requested by Manager
  • You must be responsible for the cash that you have collected. If you received a big amount of cash, please dumb into the Safe Box accordingly. Your Shift Collection Report must tally with your cash collected.
  • Ensure the credit card terminals are working fine and do not forget to do the credit card settlement at the end of the shift.
  • To ensure the Lost & Found book are up to date.
  • At any circumstances, PLEASE DO NOT LEAVE THE RECEPTION COUNTER UNATTENDED.
